Your operation is spread across 16 tools. The business lives in the gaps between them.
Every handover between them is a person retyping something at the worst possible moment, and that is where margin and information go. One database under one permission model removes the handovers entirely.

What one record replaces.
Not a category of tool: 16 of them, plus the spreadsheets between. Each of these jobs already has a home in DMC Pilot, holding the same record as everything either side of it.

The proposal is where the program begins.
A block-based builder fed by your Content Library and price book. Dual costing holds sales price, operational cost and margin in one view: the client sees only what they pay. When they sign, the program exists.
- E-signature with signer, timestamp, IP and SHA-256 document hash
- Named costing snapshots; optional and hidden line items
- One click turns the accepted proposal into the live program
One flight moves and nine things follow.
In a 16-tool stack every arrow beside this is a person remembering to do something at 11:47 on the worst morning of the program. Here it is one record changing, and the consequence traveling.

5 records, one permission model, nobody retyped anything.

840 delegates. 63 inbound flights. 26 coaches. One afternoon.
The night-before document, retired.
Every program day gets a live day sheet assembled from data the system already holds: who arrives when, which pickup moved, who's on shift, which vendor confirmed. Manual rows always win; lock it and the team runs from one truth.
Run of Show, in depthYour client sees a calmer company.
A password-gated window where the corporate buyer watches arrivals land, today's schedule proceed and their approvals clear: in real time, under your brand. Margin and cost are structurally invisible.
- “612 of 840 landed”: duty-of-care visibility they can show their leadership
- Approvals happen in the window, not in an email thread
- Revocable magic link; no client accounts to manage

It answers from your data and asks before it writes.
Dispatch AI answers across one program or the whole organization and cites the records it used. When it proposes a change, a permitted human confirms it, through one registry that fails closed. It never invents a price.

You would be running the business on this.
So the questions that matter are not features. Who can reach the data, whether it is still there on the morning of a program, and whether you can leave with it. All three are answered on the record, including the parts we do not claim yet.
- Isolation in the databaseRow-level security in Postgres scopes every row to your organization, where it cannot be bypassed by a bug in the interface.
- Encrypted, audited, permissionedSensitive personal data encrypted at rest, fourteen permission modules, and activity logs that name the member and the timestamp.
- Backed up nightly, served from the edgeManaged Postgres with automated daily backups and seven days of retention. No single machine that a program day depends on.
- An exit that already worksPrograms, attendees, vendors, financials and documents export on demand. A system you cannot leave is a risk, not a lock-in win.
Asked before the demo.
What is DMC Pilot?
DMC Pilot is the operating system for a destination management company: the single place a DMC runs a program from the inbound inquiry to wheels-up. Sales pipeline, proposals, program operations, flights and ground transfers, vendors, staffing, client-facing portals, chat, documents and invoicing live in one database under one permission model, so nothing is re-entered and nothing has to be reconciled between tools.
Who is DMC Pilot for?
Destination management companies running incentive travel, corporate events and group programs: from boutique operators winning 20 programs a year to multi-office DMCs running hundreds. The United States is the primary market and the European Union is fully supported, including VAT, reverse charge and multi-currency costing.
How is DMC Pilot priced?
Three sales-led plans: Core at $999 per month and Growth at $2499 per month, month-to-month, with 20% off on an annual commitment ($799 and $1999). Enterprise is a custom package priced against your scope. Core and Growth include a seat, program, storage and organization-wide AI-credit allowance, with transparent add-on rates and an overage cap you control. Onboarding is paid and hands-on. We load your catalog, vendors and first programs with you.
Can the AI change my data on its own?
No. Dispatch AI answers from your data, and when it proposes a write, recording an actual, logging an interaction, marking a payment, it raises a confirmable card that a permitted human approves. Every AI action passes through one permission-gated registry that fails closed, and AI never invents a price: prices come from your Content Library and price book.
What happens if it goes down mid-program?
The record is what has to survive, so it lives in managed Postgres with automated daily backups and seven days of retention, and the application is served from an edge network rather than one machine. Flight data, mail and payments are separate providers, so a degradation in one leaves the rest of the program running. We publish no uptime SLA and will not invent one before we have the operating history behind it. The full continuity posture, including what we do not yet claim, is on the security page.
Is our data isolated from other tenants?
Yes: tenancy is enforced with row-level security in Postgres, in the database rather than the UI. Every server action re-checks permissions on the server, PII is encrypted at rest, and e-signatures carry a SHA-256 audit trail. GDPR export and erasure tooling is built into Settings.
How do we get started?
Book a demo. If it fits, onboarding is guided: your Service Catalog, Content Library, vendors and live programs are set up with our team rather than into an empty database. There is no cold self-serve trial. A system of record is only convincing when it holds your record.
