ViperPro alternative for DMCsWin the program, then run it on the ground, in the same system.

DMC Pilot covers the proposal and the costing. Then it carries the program through arrivals, transfers, the days on site and the final margin.

Checked

ViperPro is a sales platform and proposal delivery system for DMCs and the meetings industry. Its founder ran a DMC before building it.

If you want the sale and the live program in one place, here is what DMC Pilot adds.

Why DMCs choose DMC Pilot

  • Nothing is retyped after the yes

The accepted proposal becomes the program. The costing you sold is kept as a baseline, and live cost is measured against it.

  • Flights and transfers that keep up

The air manifest is tracked live and becomes transfer runs that re-time when flights move. We did not find flight tracking, transfer planning or rooming lists described on ViperPro's website.

  • Day sheets for every program day

ViperPro can generate an on-site outline from product and provider notes. DMC Pilot builds day sheets from the program for every day, for the whole team.

  • An app for your team on site

Staff and freelancers get an iPhone and Android app with team chat, the day sheet and check-in lists that work without signal. We did not find a mobile app on ViperPro's website.

  • Suppliers answer in their own portal

Suppliers confirm, reconfirm, answer change requests and send their bills in their own portal. An accepted change updates your cost and margin.

  • E-signature and accounting built in

Clients sign the proposal online. Invoices and payments go to Xero or QuickBooks Online. We did not find e-signature or named accounting connections on ViperPro's site.

Airport transfers, day sheets, margin alerts and Client View are on Growth and up. The features page shows the plan for each feature.

Switching is simple

ViperPro's data protection page says data can be exported at any time. Ask for your clients, vendors, hotels and pricing as spreadsheets.

Here is what you can bring across:

  • Guest and rooming lists from CSV or Excel, on every plan. The columns are matched for you, so a list from another system needs no reformatting.
  • Clients, suppliers and your price list through Data imports on Growth and up: CSV, Excel or PDF files, up to 20,000 new records at a time.
  • Supplier price lists create the supplier with every price linked to it. You can upload up to 500 documents or a whole folder at once.
  • Nothing is saved until you review it. Possible duplicates are flagged, and you confirm the import yourself.

Onboarding is hands-on and paid. We load your price list, suppliers and first programs with you. It usually takes two weeks:

  1. Week one. We go through the setup checklist with you: company profile and logo, your team and their roles, destinations, then your price list and supplier rates imported.
  2. Week two. Your suppliers are loaded and invited to their portal. We build two live programs together.
  3. From then on. Your team runs the programs, and we stay close through your first day on site.

Past programs are usually not worth moving. Keep them where they are, and start your next program in DMC Pilot.

AI Import, review step: six attendees read from a pasted manifest, each with first name, last name, email and arrival flight code in an editable row, and Add 6 Attendees on the right

ViperPro can generate an on-site outline from product and provider notes. We did not find flight tracking, transfer planning or a mobile app described on its website. DMC Pilot covers those.

The bottom line for DMCs

ViperPro is a thoughtful sales tool from someone who ran a DMC. For a DMC, though, the sale is only the first half of the job.

DMC Pilot does both halves in one system. First the proposal and costing. Then flights tracked live, transfers that re-time themselves, day sheets, suppliers in their own portal and a live page for the client. You see the margin on every program, your team has a phone app, and Dispatch AI, the assistant built into DMC Pilot, answers from your own records. For a MICE, incentive or event DMC, it is the stronger choice.
